How to plan your wedding seating

Start with your guest list

Start with your confirmed guest list. Optionally label each guest by side and group: family, friends or colleagues. These labels help you balance tables; they do not assign seats automatically.

Check capacity with your venue

Ask your venue how many people can comfortably sit at each table. Capacity depends on the table, chairs, place settings and access needs. Enter the venue's agreed capacity: the planner will warn you before adding seats beyond that limit.

Who should sit together?

  • Decide who will share the head table early: the wedding party, parents, or just the couple.
  • Consider seating young children with their parents; discuss any separate children's table with their caregivers.
  • Consider quieter seats and convenient access for guests who need them.
  • Introduce guests who know few people to others with shared interests.
  • Need to keep two guests apart? Open either guest and use “Do not seat at the same table as.” If they share a table, the planner highlights the conflict.

Three useful printouts

The seating chart for guests, with names grouped by table. The surname lookup list, to help guests find their table at the entrance. The venue summary, with adults, children, infants, special meals and notes for each table. Confirm dietary requirements directly with your guests and caterer.

Print all three from one dialog in A4 or A3, or choose Save as PDF in your browser.

Import from Excel or Google Sheets

Save your spreadsheet as CSV, then select Import CSV. Comma, semicolon and tab-separated files are supported. Check the preview before importing. Only a guest name is required; other columns are optional.

CSV export includes these columns plus Surname. Empty tables are included as rows without a guest name. Keep-apart rules, event details and print settings are not included: CSV is a guest-list transfer, not a complete backup. If Excel puts everything in one column, use Data › From Text/CSV.

Frequently asked questions

Do I need an account?

No. The planner runs in your browser without registration. Your tables and guests are saved only in this browser on this device.

What happens when a table is full?

The planner offers to add a seat or choose another table. It does not silently overfill tables. If an imported file exceeds a table's capacity, the table and a warning are highlighted until you resolve it.

How do I record children and special meals?

Tap a guest's name to set Adult, Child or Infant, a special meal and a note such as “high chair.” Per-table counts appear in the venue summary. Verify all dietary requirements with your caterer.

Can I keep certain guests apart?

Yes. Open a guest and choose the other person under “Do not seat at the same table as.” The rule works both ways. If they share a table, their names and table are flagged. These rules stay in this browser and are not exported in CSV.

Can I use Tablefern on my phone?

Yes. On small screens, switch between Tables and Guests. Tap a name and choose a table without dragging. Printing is easier on a computer; your phone's browser may also offer Save as PDF.

How do I save my seating chart as PDF?

Choose Print seating chart, select your sheets and A4 portrait, A4 landscape or A3 portrait, then choose Save as PDF in your browser's print dialog.

How does surname sorting work?

The last word is treated as the surname, with supported particles such as De, Di and Della kept together. Review names with other naming conventions and override the surname in the guest details if needed.

How do I delete saved data?

Select Clear saved data below the guest list. You have a few seconds to undo. After that, the saved tables and guests are removed from this browser.

Works both ways: sharing a table triggers a red warning. Rules stay in this browser and are not included in CSV exports.
